Access Control

Default Permissions:

  • When a folder is created or a file is uploaded, the members of the creator’s team have default access to view the folder/file.
  • Similarly, when a folder/file is created or uploaded by a user from a specific team (e.g., General Contractor, Owner, Developer, or Subcontractor), it is accessible by default to members of that team.
  • The member of the team would have View only permission by default.
  • The creator/uploader of a folder/file has Full access, which includes the ability to view, download, rename, delete, move, and share the folder/file.

Assigning Permissions:

  • After creating a folder or uploading a file, the creator can edit the permissions associated with it.
  • The permissions can be managed by clicking on the Share option for the folder/file.
  • There are three permission types: View, Download, and Full Access, in order of increasing access level.
    a. View permission allows users to only view the folder/file.
    b. Download permission allows users to view, download, and share the folder/file with others, but they can only give View permission to others.
    c. Full Access permission provides users with the ability to view, rename, move, delete, download, and share folders/files with others, and they can assign View, Download, or Full Access permissions to other users.
  • The creator can edit the default permissions or share the folder/file with other users in the project team, assigning any of the permission types.
  • Users with higher-level permissions cannot modify the permissions of users with lower-level permissions. For example, a user with Download permission cannot edit the permissions of a user with Full Access permission, and a user with Full Access permission cannot modify the permissions of the creator.

By utilizing the Access Control feature, you can ensure that the right individuals have the appropriate level of access to folders and files, promoting effective collaboration and maintaining data security within the Documents module.
